Tickets

  • My parent/friend bought my ticket, what should I do? ​
    • Please ensure that in the ticket box next to the product you buy, you input your name so that we have the correct details on file. This will help to avoid unnecessary confusion, delays and saves administration time for our ticketing team.
  • ​My friend/parent bought me a photo/autograph ticket, as a gift is that O.K?
    • ​​Please be aware that your friend or parent must input your name on the ticket holder name section of the payment screen.  This will save any confusion as to whom the ticket is for and we can trace your convention ticket badge number.
  • ​I’ve paid for my ticket and got a receipt but no ticket?
    • Everyone who buys a ticket through our website should receive a receipt from our website provider that the transaction has been successful. EarperCon UK will send you an acknowledgement confirmation email e-ticket direct to the email address provided. EarperConUK will then send you a further email with details of your ticket, your name, ticket type and ticket number. This is what you will require to bring to the convention with you in exchange for your pack. We aim to have your email to you within 5 -7 working days of purchase. Please allow time for this to occur before seeking assistance. If after this time you have not received anything, please email tickets@earperconuk.com, tell us when you bought the ticket, whose card was used, what ticket(s) you bought and we will check our records.
  • ​​I have bought two or more entrance tickets for my partner/husband/wife/child/etc, how do I tell you whose name should be on the other tickets?
    • Please complete the ticket name box on the payment screen. This will save on delays to receiving tickets.
  • I want to come to EarperCon and I am under 16, is this O.K?
    • ​All people attending EarperCon, who are under the age of 16, must be accompanied by a fully paying adult at all times.
  • ​I want to bring/accompany a child to the convention, how do I do this?
    • ​Children’s tickets are available to purchase. For each ticket required, proof of each child’s date of birth must be emailed to info@earperconuk.com for verification purposes.
    • If the child is aged 0-6, they will qualify for a free ticket, provided they are accompanied by a full paying adult.
    • If the child is between 7-15, you will need to buy a child ticket, alongside the adult ticket. If you are 16 already or will be at the time of the event, then you must purchase an ADULT ticket.​
  • ​What do I need to bring with me to registration?​
    • Your confirmation email printed out or on your mobile device. You must also bring photo ID which matches the name exactly as is printed on your e-ticket. This is essential for the security of all at the convention. ID should be either a driver’s licence or a passport or a photographic ID card of some description showing your date of birth [e.g. your student union card, age confirmation card, travel card, work security pass etc.]

 

Autographs

  • When will autographs go on sale?
    • Autographs will go on sale on our website one week after each guest is announced starting 1st February.
  • What payment methods can I use?
    • You can pay by debit or credit card.
  • Will I receive confirmation of my purchase?
    • Yes, you will receive a receipt from our shop and this is your proof of purchase. You will not receive a further email from EarperCon.
  • Do I need to print the receipt and bring it with me to convention?
    • Yes, as we will have a separate desk where you can pick up your autograph tickets.
  • How many autos can I buy?
    • Please note at this point there is no limit however this can be subject to change.
  • Can I buy an autograph for someone else?
    • Yes, you can, and you must ensure you put their name in the ticket box.
    • If you are wishing to buy a ticket for a friend who is NOT attending the convention then in the ticket box it must be your own name supplied as you cannot input names of non-attendees. At the convention you can then ask for the personalisation to be in your friend’s name when you handover your autograph ticket.
  • Are autographs transferable or refundable?
    • No, unfortunately as per our terms and conditions autographs are not transferable or refundable.
  • What happens if I have an autograph with a guest and the guest cancel?
    • We certainly would hope that this situation does not arise but, in the instance that it does we would be looking to transfer your autograph to one of the same value with another guest or guests.
  • Do I receive a print for signing with the autograph?
    • The price you pay is solely for the autographs. We will have prints available for purchase at the event.
  • How Does the Autograph Room Work?
    • Once all guests are announced we will provide further details regarding how this will operate.
  • How will I know when I to go for my autographs?
    • We will have times detailed in the schedule. We will also have time and badge details on flipcharts in and around the whole floor of the convention.  Crew members will also be checking everyone is aware.
  • Can I chat to the guests at the autograph session?
    • Autograph sessions are very busy and we aim to have everyone through as quickly as we can to ensure they receive their autographs. To do this we need attendees to be prompt when having their items signed. There is no problem with a few words but please respect your fellow attendees who are in the queue and please do not engage in long conversations with the guests. We know this is your time with the guests and we do want you to make the most of this but please be aware of the time restraints and how many attendees still need to meet the guests. Please do not monopolise their time or sit or kneel down in front of them at their desk. We will have more crew and volunteers around to monitor each line so please don’t be offended if they do have to move you along to the next guest as we don’t want the sessions being delayed.
    • Please avoid asking for long paragraphs or drawings on your items as this can allow autographs to overrun.
    • Please do not ask for hugs or selfies during this session.
  • Can I give gifts or letters during autograph sessions?
    • This is not permitted during these sessions; however, we will have a post box for letters/gifts that we will hand over to the guests each day in the green room.
  • What if I have to leave early or I am only coming for one day and need my autographs done sooner?
    • We ask attendees to bear in mind the event is for the full weekend and whilst we do our best to accommodate everyone we cannot guarantee to put people in front of the queues. Please contact a member of the crew if for any reason you are in this position.
  • 15.What can I have autographed?
    • There will be a selection of 8x10 prints that you can purchase for signing or you can bring your own items. We ask that the items do not contain nudity and are respectful. Please also ensure they do not breach copyright or you have permission from the art/photo owner beforehand.
    • If in doubt, please ask a member of crew and we will confirm if the item is suitable.
    • We would ask that you do not bring large items to be signed such as guitars.
  • Can I take photos whilst in the autograph room?
    • Whilst in the autographs rooms no photography or filming is permitted. Anyone who is found taking photographs or filming will be removed from the room without their autographs and no refund will be given.

General information for autographs

You will be provided with your autograph tick sheet. You need to hand this to the guests PA when you are at the guests table. You will also be asked for any extra autograph vouchers you have purchased for that guest. The PA will complete your tick sheet and return it to you. Remember to keep this autograph tick sheet safe as if you lose it we cannot replace it and you will lose your inclusive autographs.

Please have your personalisation written down before you reach the guest, the guests PA will provide you with pen/paper if required.

It’s is at the guest’s discretion if they personalise your item. We do encourage it but if the session runs late then they may have to stop personalisation to help move along the lines.

Each attendee only goes through room A and B once over the weekend.

The autograph tickets that go on sale will not specify a day on them. Your free and any purchased autographs will be signed in the one session.

Please note your badge number will be recorded on entry to the auto rooms to avoid duplication.

Child autographs are the same price as adult tickets.

We will also have a safe place for you to leave any bags when entering these rooms.

 

Photographs

 

  • When will photographs go on sale?

  • How many photos can I buy?
    • There is no limit to the number of photographs you can buy per guest.
    • Please note this is subject to change if numbers become limited.
  • Can I buy a photograph for someone else?
    • Yes, you can, you must ensure you put their name on the ticket purchase (beside the address would be best)
    • If you are buying photographs for yourself and someone else we ask that you do them as separate transactions to avoid confusion.
  • Are photographs limited?
    • There will be an overall limit on every type of photograph and we shall issue notifications via our social media channels if a photograph is close to being SOLD OUT.
    • We aim to try and ensure everyone has the photographs they wish but due to time constraints we have to have an overall limit on photographs.
  • Are photographs transferable or refundable?
    • No, unfortunately as per our terms and conditions photographs are not transferable or refundable.
  • What happens if I have a photograph with a guest and the guest cancel?
    • We certainly would hope that this situation does not arise but, in the instance, that it does we would be looking to transfer your photograph to one of the same value with another guest or guests.
  • How any people can I have in my photo?
    • You can have a maximum of 2 attendees per photo. Each attendee in the photograph must have purchased a photo ticket. Any higher numbers must be agreed by a member of crew.
    • (Children under 6 are not included in the limit)
    • If there are two people in the photo two poses are permitted and we shall print out two photos in total between two attendees. (one of each pose)
  • What size are the photo print outs we will receive?
    • Your photo will be 8” x 10”
  • When will I receive my photo?
    • We will aim to have everyone’s photo printed ready for autograph sessions. However please understand this is not guaranteed if something happens out with our control
  • Can we do poses in the photograph?
    • Yes, you can as long as the guest is comfortable with the pose and it is not anything inappropriate, no lifting or kissing is permitted. Poses are subject to time constraints. Please have your pose idea ready in time for your photograph due to limited timescales.
  • Can I bring props for my photograph?
    • Yes, you can, please show the item to a member of our crew for approval prior to your photograph and please do not bring any real weapons or sharp objects. The use of props is subject to the guest’s agreement for the photo.
  • Can I chat to the guests at the photograph session?
    • Photograph sessions are very busy and we aim to have everyone through as quickly as we can to ensure they have the photographs they wish. To do this we need attendees to be prompt when having their photo taken. There is no problem with a quick hello, thank you or good bye but please respect your fellow attendees who are in the queue and please do not engage in long conversations with the guest during photos.
  • Can I give gifts or letters during photograph sessions?
    • This is not permitted during these sessions, we will have a post box for letters/gifts that can be given to the guest in the green room by crew at the end of the day.
  • Where can I collect my photographs?
    • We will have a dedicated desk where you can collect your photographers, this will be manned by a member of our crew who will hand your photographs to you. After your photograph is taken you will be provided with a ticket which you should hand in exchange for your photographs.
  • Will we have digital photographs?
    • We will advise in due course regarding the possibility of digital photographs.
  • Are children allowed in photographs?
    • Children under 6 are permitted in the photograph with the adult free of charge.
    • Children aged 7 up to 15 who are in possession of a child ticket will be required to purchase the child photo ticket available on our shop.
  • When will I know to go for my photograph?
    • Photographs will be called by badge type and number. There will be boards around the whole floor advising what badge type, numbers and guest photograph is happening. Times will also be on the schedule.
    • Please keep in mind that there may be more than one photograph room so you may see different guest photographs at the same time on the schedule this is to allow different badge types to have photographs taken at the same time. You will not miss your photograph.
  • What if I have to leave early or I am only coming for one day and need my photos done sooner?
    • We ask attendees to bear in mind the event is for the full weekend and whilst we do our best to accommodate everyone we cannot guarantee to put people in front of the queues. Please contact a member of the crew if for any reason you are in this position.
  • Can I take pictures or videos in the photography rooms?
    • No, photos/video taken on cameras/mobile phones etc is not permitted in these areas.
    • Anyone caught taking photos/videos will be removed from the room.
  • Am I guaranteed to have my photograph available for autograph sessions?
    • This is all dependant on the number of guests and how we will run the photo/auto sessions. We always strive to manage our schedule to accommodate this but please be aware we cannot guarantee this.

 

General information for photographs

You must hand your photo ticket to the member of crew at the door to have your photograph taken, once your photograph has been taken you will be handed your photo collection ticket and guided out of the room by a member of crew.

Please be ready for your photograph when you approach the guest as the line does go quickly.

Please also be aware that if you wish to keep your glasses on that this can cause reflection in your photograph and we will not retake these photographs if this happens.

 

Meet & Greets

  • When will meet and greets go on sale?
    • Meet and Greets will go on sale on week after each guest has been announced starting from 1st February.  This will be for Saturday solo meet and greets only at present. More information will be forth coming once we have completed our guest list.
  • What payment methods can I use?
    • You can pay by Visa, MasterCard and American Express card payments from customers worldwide. Giro pay, iDEAL or SOFORT
  • Will receive confirmation of my purchase?
    • Yes, you will receive a receipt from our shop and this is your proof of purchase. You will not receive a further email from EarperCon.
  • Do I need to print the receipt and bring it to the convention with me?
    • Yes, when you arrive to register at the convention you hand over the receipt and pick up your meet and greet tickets from the allocated desk.
    • Please do not lose your ticket as they cannot be replaced.
  • How many attendees will be in the meet and greet?
    • There is a maximum of 15 attendees in each of the meet and greets.
  • Can I buy a meet and greet for someone else?
    • We ask that at present you only buy one meet and greet whether this be for you or someone else as they are so limited per guest.
  • Are meet and greets transferable or refundable?
    • No, unfortunately as per our terms and conditions meet and greets are not transferable or refundable.
  • What happens if I have a meet and greet with a guest and the guest cancels?
    • We certainly would hope that this situation does not arise but, in the instance, that it does we would be looking to transfer your meet and greet to one of the same value with another guest or guests.
  • Can children attend meet and greets?
    • Children aged 10 and over can attend the meet and greets with the relevant ticket but must be accompanied by a paying adult.
  • Can I take photographs/video/selfies in the met and greet?
    • No videoing or photography can take place during the meet and greets. Anyone caught doing so will be asked to leave the meet and greet.
  • What happens at the meet and greet?
    • Normally you will be seated around the table with the guest and the other attendees in your group. You will have the opportunity to chat to the guest and ask questions.
    • Please be considerate of the other attendees and allow everyone to have the opportunity to chat or ask questions.
    • Please do not ask for hugs from the guests or ask anything inappropriate.
  • How long does the meet and greet last?
    • The meet and greet will last approximately half an hour.
  • Can I give gifts or letters during meet and greets?
    • This is not permitted during these sessions. We will have a post box for letters/gifts that can be given to the guest in the green room by crew at the end of the day.
  • How will I know where and when my meet and greet is?
    • The times will be marked on the schedule and on flip charts around the convention area.
  • Can my carer attend the meet and greet?
    • Carers can accompany the attendee they are with into the room, but they will be seated at a different table in the same area.

NB: This guide applies to meet and greets sold as extras and not for the ones included in for Peacemaker or VIP. They will be issued with a separate guide.

 

Refund/Transfer Policy

EarperConUK has a strict no refund policy so please do not ask, as a refusal can offend.

  • If I can no longer attend the convention can I transfer my ticket or Earp It forward?
    • We understand that buying tickets so far in advance can result in people being unable to attend the convention due to various factors. With that in mind during the month of Marchand JuneONLY, we will allow people to transfer convention tickets, into another individual’s name. In order that this can be done officially it must be approved by contacting EarperConUK in the first instance and we shall issue a transfer form for both the seller and buyer. EarperConUK will not be responsible for the financial aspect of the ticket transfer. Once both parties have completed the transfer form and have resolved payment then, we shall transfer the ticket name by issuing a new ticket number. The original ticket number will become null and void.
    • Please note that we cannot permit the transfer of photo/auto or meet and greet tickets.
    • We reserve the right to process transfers at our discretion and only upon our agreement to do so

Video and photography by attendees

  • Is videoing/photographing allowed during the panels?
    • Yes, you can take photos during the panels and we ask that there is no flash photography after the first 5 minutes. Please be courteous to other attendees who are there to enjoy the panels. We ask that you do not bring camera tripods.
    • Any videoing in the main hall, autograph rooms, photo rooms or meet and greet events is STRICTLY PROHIBITED. Any attendee found ignoring this rule will be given one warning and required to fully deleting the offending material. If the attendee is caught doing it a second time, they will be escorted off the premises and forbidden from return. Their convention ticket will immediately be forfeited and NO refund will be given.​
  • If I see the cast walking around the venue, can I take a photo with them?
    • No, unfortunately not, this is not permitted. Please respect the cast members’ privacy and allow them some space whilst they are moving about the convention area.

General Questions

  • Accessibility
    • EarperCon is dedicated to making sure that everyone who attends our event has a fantastic weekend. If you have any special requirements, please email us on info@earperconuk.com with details of your requirements at least 2 months before the convention date. Please be advised that we will require some written proof such as a PIP award, medical letter or a blue badge as evidence. Upon receipt of this we will be more than happy to accommodate you and assist where we can. Please be advised that this may include providing seating for you during queuing and does not necessarily mean you will be put to the front of the queues.​
  • Gift Policy
    • ​​One of the questions we are asked on a regular basis is regarding the bringing of gifts for the cast. One of the issues is that, as we are in the UK the cast are flying internationally, which does restrict their luggage space. If you wish to bring a “small” gift, then you may do so. Can we please ask that this be left on the table beside the post box for the letters people want to give and they shall be passed to the guests at the end of the day in the green room. Please do not pass gifts during photos/autos/M&G’s as it takes up too much time.
  • Do I have to book a room direct with the hotel?
    • The Marriott Hotel provide us with a booking link where attendees can receive a discounted rate. Further details are available here
  • Are there volunteer positions? ​​
    • Nearer to the convention we will post on our website for applications for volunteers.
    • You must have a convention ticket to apply to be a volunteer.​
  • Can I be a vendor?
    • We will be having vendor tables at the event and we will post on our website with full details in the near future.
